This document describes how your personal data will be processed when place a reservation for a new Volvo car online through www.volvocars.com (hereinafter the “Reservation”).

1. Who we are

The legal entity responsible for the processing of personal data in relation to the placement of a Reservation is Volvo Car Corporation, having its registered office at 405 31 Gothenburg, Sweden, company registration number 556074-3089, hereinafter referred to as “Volvo Cars”, “we”, or “us”.

2. What personal data we collect and why

We will process the personal data that you provide to us through the online platform in connection with your placement of your Reseration as further described below:

First and last name
Contact details (email address and phone number)
Your selected retailer
Car model
Information on the paid refundable deposit for the Reservation

This personal data is collected from you and will be processed in order to process your Reservation and to communicate with you regarding your Reservation. The legal basis for processing your personal data in connection with the placement of and communication about your Reservation is to enter into and perform the contract we are concluding with you.

Payment of the Refundable Deposit

When you make a Reservation, you will be asked to pay a refundable deposit (”Deposit”). When you pay your Deposit through credit or debit card your personal data will be collected and processed by Stripe Payments Europe Ltd. (”Stripe”), a company incorporated under the laws of Ireland. Stripe will be the controller of such personal data collected through the credit or debit card payment and you can view their privacy policy here.

3. How long we keep your data

If you do not finalise the step where you pay the Deposit, your personal data mentioned above will be stored for a period of one month after you began to place a Reservation through the online platform. We do this in order for you to be able to complete the Reservation and for us to assist you during this period.

In the case where you finalize the Reservation and pay the Deposit but do not place a pre-order within the set period of time following the date when you were notified by us that the customization tool is available, we will return the Deposit to you. We will therefore process your personal data for this purpose for a period necessary for the return of the Deposit paid and subsequently for a period based on respective tax and accouning laws applicable in this case.

4. Who we share your personal data with

We will share your personal data with the following categories of third parties on a need-to-know basis:

Volvo Car Czech Republic s.r.o. – for the provision of services such as customer care and administration
Your selected retailer (if applicable)
IT-suppliers (and their sub-processors) for the provision of general business support systems and data hosting, such as:
- Salesforce UK Limited (and its sub-processors) – CRM system and data hosting.

5. Your rights in relation to the data processing we perform

You have specific legal rights granted by the General Data Protection Regulation relating to the personal data we process about you. At any time, you can withdraw your consent or object to our processing of your data, access the data we hold about you, ask for rectification or restriction of your data, request its transfer to another entity, request that we delete your data, and finally you can file a complaint with a data protection supervisory authority.
